Reporting Issues
How to report technical problems with the Employee Portal

Information to Include

When reporting an issue, please provide the following information to help us assist you quickly:

  • Your Staff ID and name
  • Description of the problem or error
  • Which feature you were using (login, leave requests, skeletal staff, profile, etc.)
  • Steps to reproduce the issue (if applicable)
  • Error messages or codes displayed
  • Screenshots or screen recordings (if possible)
  • Browser and operating system information
  • Time and date when the issue occurred

Issue Priority

Critical

System-wide outages, security breaches, data loss, inability to submit urgent leave requests

High

Cannot access portal, leave request submission fails, skeletal staff features not working

Medium

Minor feature issues, display problems, workarounds available

Low

Cosmetic issues, enhancement requests, minor usability concerns

Common Troubleshooting
Solutions to frequent Employee Portal issues

Login Issues

  • Verify your Staff ID and Surname are entered correctly (check for typos and case sensitivity)
  • Ensure you receive and enter the verification code correctly from your email or phone
  • Check that your contact information (email/phone) is up to date in the system
  • Clear your browser cache and cookies
  • Try using a different browser or incognito/private mode
  • Ensure your account is not locked or pending HR approval
  • Wait a few minutes and try again if verification code expires

Leave Request Issues

  • Verify all required fields are filled correctly (dates, leave type, etc.)
  • Check that leave dates do not conflict with existing requests
  • Ensure you have sufficient leave balance
  • Refresh the page if leave balance doesn't update
  • Contact HR if leave request doesn't submit or appears to fail

Performance Issues

  • Clear browser cache and temporary files
  • Close unnecessary browser tabs or applications
  • Check your internet connection speed
  • Disable browser extensions that might interfere
  • Update your browser to the latest version
  • Try accessing during off-peak hours if experiencing slow performance

Display or Formatting Issues

  • Refresh the page (Ctrl+F5 or Cmd+Shift+R for hard refresh)
  • Check browser zoom level (should be 100%)
  • Update your browser to the latest version
  • Try a different browser to isolate the issue
  • Clear browser cache and reload the page

Supported Browsers

  • Google Chrome (latest version) - Recommended
  • Microsoft Edge (latest version)
  • Mozilla Firefox (latest version)
  • Safari (latest version, macOS/iOS)

JavaScript must be enabled for the Employee Portal to function properly. Cookies must be enabled for session management.

Minimum Requirements

  • Modern browser with HTML5 support
  • Stable internet connection (minimum 1 Mbps recommended)
  • Screen resolution: 1280x720 or higher
  • Cookies and JavaScript enabled
  • Access to email or phone for verification codes
Escalation Procedures
When and how to escalate Employee Portal issues

If your issue is not resolved through standard support channels or if it requires urgent attention (especially for time-sensitive leave requests or skeletal staff submissions):

  1. Contact your immediate supervisor or department head
  2. Escalate to the HR department if related to leave requests or employee data
  3. Escalate to the IT department manager for technical issues
  4. For critical system issues, contact the system administrator directly
  5. In case of security incidents, follow CSIR's security incident reporting procedures immediately
