Agreement governing Employee Portal usage

Acceptance of Terms

By accessing and using the CSIR Employee Portal, you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using this system.

Authorized Use

This Employee Portal is provided exclusively for authorized CSIR employees for official business purposes. You are authorized to use the system only for purposes related to your employment with CSIR, including submitting leave requests, managing skeletal staff requests, accessing your employee profile, and other employment-related functions.

Prohibited Activities

  • Unauthorized access to other employees' data or system resources
  • Attempting to breach system security or circumvent access controls
  • Sharing your Staff ID, verification codes, or account access with unauthorized persons
  • Using the system for personal commercial purposes or non-CSIR activities
  • Submitting false or fraudulent leave requests or skeletal staff information
  • Introducing malicious software or code
  • Interfering with system operations or other employees' access
  • Violating any applicable laws, regulations, or CSIR policies
  • Misrepresenting your identity or employment status
Intellectual Property Rights
Ownership and usage rights

System Ownership

The CSIR Employee Portal, including its software, design, content, and documentation, is the property of the Council for Scientific and Industrial Research (CSIR) and is protected by copyright, trademark, and other intellectual property laws of Ghana.

User Content

Data and content entered into the Employee Portal by employees in the course of their employment, including leave requests, skeletal staff submissions, and profile information, remain the property of CSIR. Employees grant CSIR a license to use, store, and process such data for organizational, operational, and compliance purposes.

Restrictions

You may not copy, modify, distribute, sell, or lease any part of the Employee Portal or its content without explicit written authorization from CSIR. Reverse engineering, decompiling, or disassembling the system is strictly prohibited. Screenshots or reproductions of portal content should only be used for legitimate business purposes.

Limitation of Liability
Disclaimer of warranties and limitations

System Availability

While we strive to maintain Employee Portal availability and reliability, CSIR does not guarantee uninterrupted or error-free operation. The system is provided "as is" and may be subject to maintenance, updates, or technical issues that could result in temporary unavailability. Employees are advised to submit time-sensitive requests (such as leave applications) well in advance.

Data Accuracy

While we take measures to ensure data accuracy, CSIR is not liable for errors, omissions, or inaccuracies in data entered by employees or resulting from system malfunctions. Employees are responsible for verifying the accuracy of data they enter, including leave dates, skeletal staff information, and personal details. Employees should review submitted information before final submission.

Limitation of Damages

To the maximum extent permitted by law, CSIR shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from the use or inability to use the Employee Portal, including but not limited to loss of data, loss of time, delays in leave processing, or business interruption. This limitation applies to all claims, whether based on contract, tort, or other legal theories.

Governing Law
Applicable laws and jurisdiction

These Terms of Service are governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising from or relating to these terms or the use of this Employee Portal shall be subject to the exclusive jurisdiction of the courts of Ghana. All employees using this system are also subject to CSIR internal policies, employment agreements, and applicable labor laws.

Dispute Resolution
How disputes are handled

Internal Resolution

Employees are encouraged to first attempt to resolve any disputes or concerns related to the Employee Portal through internal channels by contacting their supervisor, HR department, or system administrators. Most issues can be resolved through internal discussion and clarification of policies or procedures.

Formal Process

If internal resolution is not possible, disputes may be escalated through CSIR's formal grievance procedures, HR channels, or through appropriate legal channels as provided by Ghanaian law and CSIR employment policies.

Modifications to Terms
Changes to these terms of service

CSIR reserves the right to modify these Terms of Service at any time. Significant changes will be communicated to employees through the Employee Portal, email notifications, or other appropriate channels. Continued use of the Employee Portal after such modifications constitutes acceptance of the updated terms. Employees are encouraged to review these terms periodically.
